1577 Roberts Dr, Suite 225, Jacksonville Beach, FL 32250 The Medical Administrative Coordinator is responsible for coordinating and scheduling the Beaches Division legal expert work and workers compensation appointments and cases in an efficient and timely manner.
Additionally, they coordinate acceptance, completion, and distribution of medical forms including but not limited to DWC-25s.
This role also requires the duty of maintaining medical records, maintaining Physician calendars and schedules, and completing secretarial duties for Beach division Physicians and The Practice Manager.
Essential Duties and
Responsibilities:
Schedules appointments for the Beaches providers using Athena.
Obtains and enters accurate patient demographic and insurance information.
Confirms required information has been received for upcoming appointments.
Scans and indexes documents into Athena.
Checks voicemail and email daily and responds to all messages within 24 hours.
Answers calls promptly, in a polite and professional manner.
Reschedules appointments when necessary.
Relays necessary messages to staff.
Maintains the strictest patient confidentiality and adheres to all HIPAA guidelines.
Performs related job duties as required to support the medical office.
Provides support to all administrative roles in the office.
Position Requirements:
Workers Compensation knowledge preferred.
Prior scheduling experience preferred.
Prior customer service experience in a healthcare setting is required.
Ability to consistently deliver excellent customer service with a patient-care focus.
Excellent organizational and communications skills.
Must be able to perform responsibilities in an efficient and timely manner.
Knowledge of HIPAA guidelines required.
Basic computer knowledge required.
High school diploma or equivalent.
Working Conditions:
Fast paced medical office environment.
Occasional overtime may be required.
Physical Demands:
Requires sitting and standing associated with a normal office environment.
Manual dexterity sufficient to operate a computer and office equipment, and to write legibly.
Vision sufficient to read standard text and data on computer screens and paper forms.
Ability to speak clearly and with the volume required to carry on clear conversations in person and over the phone.
Hearing sufficient to carry on clear conversations in person and over the phone.
